Know what Zelun records about changes to appointments and clients

What it is

Zelun keeps a private log of changes made to your appointments and clients, so that work is never silently lost or altered without a trace. Each entry says who did something, when, and what kind of change it was.

An entry is written automatically when someone:

  • creates an appointment,
  • changes an appointment, including rescheduling it,
  • cancels an appointment,
  • checks an appointment out,
  • attaches a client to an appointment, or changes which client is attached,
  • creates or updates a client record,
  • anonymizes a client.

The log can only grow. Entries cannot be edited, and a staff member cannot delete them.

Before you start

There is nothing to set up. Recording is always on and cannot be turned off.

The Activity screen is for the business owner and anyone given the "Can see Activity" permission, for their branches only (company-wide changes need the permission on all branches). If another team member opens it, Zelun tells them they do not have permission and shows no changes. Ask the owner to give you the permission.

Steps

See every change

  1. Open Activity in the left menu, under Setup.
  2. The list shows the most recent first. Each row is one sentence: the time, who did it (a team member, Client if it came from their booking link, or Zelun support), what they did and at which branch. For example: "Luis Pérez moved the visit of Ana López from Tuesday 13 Oct 10:00 to Wednesday 14 Oct 11:00."
  3. Press Load 50 more for older changes.

Filter

  1. Pick From and To for a date range, Person, Branch or Type of change (appointments, clients, branch closures or other).
  2. Each active filter shows as a tag you can remove with the ×. Remove filters clears them all.

Find out who moved an appointment

  1. Open the appointment in the book and press View activity.
  2. You see only the changes to that appointment, with the old and the new time. On a client's record, View activity shows that client's changes and those of their appointments.

What your clients see

Clients do not see the audit trail and it does not change anything about their experience. The protection it gives them is indirect: entries are kept by identifier rather than by name, so a client's name, phone number and the reason they gave for a cancellation are not copied into the log. When you anonymize a client, the entry records only that it happened to that client, not the name or phone that were erased.

Common mistakes

  • Expecting any team member to see it. Only the owner and anyone given the "Can see Activity" permission.
  • Expecting to erase a record. The log is append-only. Staff cannot delete entries.
  • Expecting a client's phone or email. Activity names the client as you stored them, but never shows their phone or email.
  • Expecting the cancellation reason to be kept in the log. It is deliberately left out.
  • Expecting it to record every screen you open. It records changes to appointments and clients only.
