What you and your clients accept, Terms of Service and Privacy Notice

What it is

Zelun asks you, the owner, to accept two documents: the Terms of Service and the Privacy Notice (shown in Spanish as the Aviso de Privacidad). Zelun keeps a record of who accepted which version and when. Your clients are asked to accept the Privacy Notice too, when they book on your booking page.

Zelun publishes these documents. Your business does not write or change them, and this article does not explain what they say. Read them yourself before you accept.

Each document has versions. When Zelun publishes a new version, earlier versions stay on record, and anyone who accepted an earlier version keeps that record.

Before you start

  1. You need to be able to open the documents. Each acceptance box has a link to the document it refers to.
  2. Accepting is done by the owner of the business. It is recorded against the person, not only the company.
  3. You cannot read the acceptance table yourself, and you cannot publish versions. Both are tools for the Zelun team, so an owner or staff member does not see the Legal Documents page or the Acceptance status table.

Steps

Accept when you sign up

  1. On the sign-up screen, enter your business details.
  2. Tick I accept the Terms of Service and I accept the Privacy Notice. The names are links that open each document.
  3. Continue to create your account. You cannot continue without ticking both. Your acceptance of the current version of each is recorded when your business is created.

Accept again when a document is updated

  1. When Zelun updates the Terms of Service and asks for renewed acceptance, it tells the owner by email and by a banner in the app. The notice gives the date the new version takes effect and a short summary of what changes.
  2. Choose Review terms. You see the summary and the date, and you can read the full text in English or Spanish. Tick the box to say you reviewed the text and accept it for your business, then press Accept for this business.
  3. Zelun records which business accepted, who accepted for it, the version, and the language you read. Only the owner can accept for the business. If you have two businesses, each one needs its own acceptance.
  4. You can accept as soon as you are told, before the new version takes effect. Nothing changes for you until its date arrives.
  5. If a still newer version appears while you are reading, the page shows the newer one and tells you; nothing is recorded for the older one.
  6. If the update does not ask for renewed acceptance, you do not need to do anything.

If you have not accepted when the new version takes effect

  • You cannot change things in your business until the owner accepts. Everything you already have stays visible.
  • You can still cancel or pause your plan, request an export of your data, contact support, and handle a client's request about their personal data. None of these needs you to accept first.
  • Staff do not accept for the business. When staff open the app they see that the terms were updated and that they should ask the owner. Owners who use the staff app can review and accept there too.

Accept again when a document is updated (earlier documents)

  1. For documents that Zelun published before this process existed, the next time you try to change something in your business you are taken to a screen that says These terms were just updated. Please review and accept them again.
  2. Tick both boxes, opening the links to read the new versions, and press Continue.
  3. You are returned to where you were, and you can change things again.

See who accepted what (Zelun team only)

  1. On the Legal Documents page, the Zelun team sees a card for each document with its current version, when it was published, how many owners have accepted it and how many will be asked at their next sign-in. A version history shows how many accepted each version.
  2. Below the cards, a table of owners can be filtered by company. A row shows the owner's company, and for each document the latest version they accepted. An owner who has not accepted the current version shows Not yet.
  3. The team can also open your company under Companies and read Acceptance status.
  4. That table shows the Owner, the Document, the Version and Accepted, which is the date and time. An older acceptance that predates tracking is marked Grandfathered.
  5. If there is nothing yet, the table says No acceptance records for this company yet.

What your clients see

  • If a Privacy Notice has been published, the booking page shows a link to it with the text By continuing, you agree to our Privacy Notice. Without a published notice, the link does not appear.
  • When a client confirms a booking, Zelun records that they accepted the current Privacy Notice. It records this once for each client and version, not on every booking.
  • Clients are not asked to accept the Terms of Service. Those are between you and Zelun.
  • A client never needs to sign in or re-accept anything to keep their appointment.

Common mistakes

  • Thinking an email is enough. An email about an update is only a notice. The terms are accepted when the owner reviews them and presses Accept for this business.
  • Waiting on the update screen. If you are sent to review updated terms, you cannot change anything in your business until you accept. Your existing data stays visible.
  • Looking for the Not yet list. It is on the Zelun team's page. You do not see it.
  • Another team member looking for the acceptance record. Neither staff nor owners can read it. Ask Zelun support if you need it.
  • Expecting an old acceptance to count for a new version. Each version needs its own acceptance, and the old record is kept.
  • Expecting this article to explain the legal text. It only describes how acceptance works. For what the documents mean, read them or ask an adviser.
