Guardians and dependents: booking for a child or a relative
What it is
A guardian is a client who books and pays for someone else; the dependent is the person who comes to the appointment (a child or another relative). Each has their own record, with their own history, notes and forms. What changes is who gets the messages and who answers: reminders, notices, the deposit and the signature go to the guardian.
It is not an add-on and it does not change your plan. A dependent does not count towards your bookable people or change your band; messages sent to the guardian use credits like any other.
The guardian also sees the shared instructions of the person in their care, with their name, and decides about the medicine reminders. They never see notes, photos or AI summaries.
Before you start
- The guardian needs their own record with a phone number. If they do not have one yet, create it in Clients.
- A guardian cannot be a dependent of someone else, and a dependent has one guardian, in the same company.
- To keep a dependent's birth date you only need the date; it tells you whether they are a minor.
Steps
Add a dependent to a client
- Open Clients and choose the guardian.
- In Dependents, press Add and type the name (and, if you like, the birth date and relationship: child, or other).
- Save. The new record appears in the list and can be picked when booking.
Link a record that already exists
- Open the dependent's record.
- In Guardian, choose their guardian. If the guardian already has other dependents, they all stay together.
Separate
- Open the dependent's record and press Separate. It keeps its history and no longer depends on that guardian.
- If siblings were registered with one phone and are really one account wrongly joined, use Separate the guardian from the child: the guardian's record keeps the phone and the child becomes their dependent.
Book at the desk
- In the booking sheet, type the name in the client picker. Dependents show dependent of and the guardian's name.
- Choose the person; the appointment is in their name and the messages go to the guardian.
What your clients see
- On your booking page the client answers Who is the appointment for? with Me or Someone else, and types the other person's name.
- If they type a name different from the one you have for that phone, the page asks Is it the same person?. It never renames a record by itself: if it is not the same person, it books for a dependent of the phone's holder.
- Messages go to the guardian and name the other person: "Cut for Diego". If your business uses discreet messages they say "Mateo's appointment".
- The deposit and the saved card are charged to the guardian. A no-show by anyone in the family counts for all of them, so the warning cannot be avoided by booking under another name.
- Forms and consents are signed by the guardian, and who signed and in what relationship is recorded.
Common mistakes
- Deleting a guardian who has dependents. It is not allowed: the record says so in a sentence. Separate or reassign the dependents first.
- Creating a new record per child with the mother's phone. That is what this feature avoids: add them under Dependents.
- Expecting the notice to reach the child. It reaches the guardian.
- Making a guardian a dependent of someone who is already a guardian. There are no chains: a person is a guardian or a dependent, not both.
Tips
- In a veterinary clinic, pets use the same owner–dependent link with animal words (Pet / Owner). See Veterinary clinics.
