What your team can do in the staff mobile app

What it is

The staff mobile app is meant for the people who work at your shop. It opens on a sign-in screen and, once you are in, has up to five tabs along the bottom of the screen, always in this order: Today, the clients tab, Portfolio, Time off and My jobs. My jobs is missing when your company hides the orders section. The tab names and the screen texts follow the language of the phone. The clients tab and the words for clients and services follow your business type, so a clinic sees Patients and appointment types. The business type article explains it.

  • Today: how the day is going, under the title Today so far. A staff member also sees Your appointments today (or Your sessions today for a tutor): each card has the time, client, service and the summary's top line; tapping one opens the patient summary. Below that, each earnings card shows Checked out, Commission and Tips. An account tied to a location but not to a staff member sees Everyone at this location, one card per person, with no day list. The figures come from Zelun, the same ones as on the web, and a note says These figures are so far today, not amount due.
  • To collect, below the summary on Today: today's appointments that are not collected yet, for whoever opened the app (or the whole team for the owner). Tapping one opens Collect, with what is charged, the tip if the location offers one, and three ways to finish: Collect with the phone, Cash or Other method. A team member collects only if the owner turned on Collecting from the team app. The Tap to Pay article explains it.
  • Clients (the tab says Patients, Students and so on, depending on your business type): opens on Mine (people you have treated), with All when you search the company by name or phone (including a caregiver). Open one to see whether they favorited you, their recent reviews, and their active packages with their expiry. From there a staff member can press Suggest renewal to suggest renewing a package to the client. At the top of the client screen is the notes section, with the notes that person may read and an Add note button.
  • Portfolio: the services the staff member performs. Open one to take photos with Take photo and press Add to portfolio. Long-press a photo to remove it.
  • Time off: the staff member's balance (taken, booked ahead, remaining, and sick leave separately), their own requests with a Pending, Approved or Rejected label, and a Request time off button. For the owner, the same tab also shows Requests: the location's pending requests, each with Approve and Reject. A badge on the tab counts the requests waiting.
  • My jobs: the made-to-order jobs assigned to the staff member that are not delivered yet, with the job site and an Open in Maps button for directions. A job can be moved to its next step from here. The staff view never shows prices or payment amounts, only the client's name.

Money is shown in your company's currency. The currency symbol and number style follow the language of the phone.

If your Zelun plan has ended, a banner above the tabs says so, and changes are paused in the app as on the web. If the Terms of Service were updated, another banner says so: the owner can read and accept them with Review terms, and other staff need to ask the owner.

If the phone has no connection, a banner under the title says You're offline. Showing what we last loaded. with a Retry button. What you see is what was last loaded, and actions that need a connection ask you to reconnect first.

The app is not yet available to download, and there is no store listing for it. This article describes what it does so far.

  2. The account must be linked to a staff member at a location. Otherwise screens say No staff placement is linked to this account. Set staff up as described in the staff directory article.
  3. For My jobs, assign the order to the staff member on the web first, from the order. Only open orders assigned to them appear.

What your clients see

Your clients never see the app or its figures. When a job moves to its next step, the client may receive the usual update about their order.

Common mistakes

  • Treating the Today numbers as what you owe. They are so far today and can still change. Use the pay-run reports for what is actually due.
  • Not seeing the My jobs tab. If your company hides the orders section, the tab does not appear.
  • Trying to change plans from the app. With a full plan the app only tells you; the change is made on the web.
  • Looking for a job that is not assigned. My jobs shows only open orders assigned to the signed-in staff member. Delivered jobs drop off the list.
  • Expecting a house-rule warning to stop a request. Warnings inform. The owner decides.
  • Looking for a colleague's visit when adding a note. The app lists only visits you treated in the last 90 days.
  • Looking for the app in a store. It is not yet available to download.
  • Pressing Not now and then expecting a push. Without notifications turned on, the phone is not registered and no booking or other update reaches it.
