Invite a team member to use Zelun
What it is
An invitation gives a team member their own access to Zelun, with their own account and without you handling passwords or sign-in details. You can invite them by email or by phone, see what state the invitation is in and undo it if needed.
Only the business owner can invite. A team member who is not the owner cannot invite someone else.
Before you start
- Have the person's email or phone number at hand.
- Everyone with access counts as a bookable person on your plan. If you invite someone who is not yet in your directory, Zelun adds them first and checks your plan limit. If it is full, it creates neither the person nor the invitation and shows you the next plan with its price in your currency. Inviting someone already in the directory, resending or revoking does not change that count.
- If you want them to join with a role's permissions, create the role first. Choosing a role is optional.
Steps
Invite
- On the person's page, under Staff, find Access to Zelun and press Invite.
- Choose By email (type their Email) or By phone (type the number, with its country). If you want, pick a Role.
- Press Send invitation.
- By email, Zelun sends one message in your company's language, naming the business and the location, with a link to join. It costs no credits. The person shows Invitation pending.
- By phone, Zelun sends nothing. It gives you the link and a ready-made message for you to send: press Share on WhatsApp, Send by SMS or Copy link, then Done. No credit is charged.
From the menu, if you work alone
- If you are the only person in your business, the menu has Invite someone at the end of the diary group, and your My hours page has a Working with someone else? card with the same button. Both open the form to add the person and send the invitation.
- As soon as you send the invitation, the menu shows the team, the team schedule and branch settings, and Invite someone stops showing. If the invitation is withdrawn or expires and you are again on your own, the menu gets shorter again.
Follow or undo the invitation
- An invitation is in one of four states: pending, accepted, expired or revoked. It lasts 7 days from the last time it was sent and can be used only once.
- Resend sends a new link, restarts the 7 days and voids the previous link. It also works for an expired invitation, where you see Invitation expired and Invite again.
- Revoke cancels a pending invitation (Invitation revoked). The link stops working, but the person stays in the directory and can still be booked. Their card shows No sign-in.
- To remove access from someone who already accepted, press Remove access in the same section.
Accepting the invitation (what the other person does)
- They open the link. The You're invited to screen for your business shows the role, if there is one, and two choices: Create account or I already have an account.
- To accept, they need to be signed in to Zelun. If the invitation was by email, they must sign in with that same, verified email. With another one, the screen asks them to sign in with the invited email and offers Use another account.
- On accepting, their account is linked to their profile in the directory, their sign-in is switched on and, if you chose a role, they join as a member of that role. You will see their card with Sign-in on.
- No new business is created for them: they land on their own schedule, not on business sign-up.
What your clients see
Nothing changes for your clients. The invitation is only between you and your team.
What the person sees once in depends on their role: if they are not the owner they do not see the administration screens and land on their own Schedule. The role decides what else they can do. Roles have their own article.
Common mistakes
- Expecting a phone invitation to arrive by itself. Zelun does not send messages to phone numbers. You send the link.
- Letting the invitation run out. It lasts 7 days. If it did, the person will see that it expired and has to ask you for a new one: press Invite again.
- Using an old link after resending. The previous link stops working; use the latest one.
- Accepting with a different email. An email invitation is only accepted by whoever signs in with that email.
- Opening the link twice. It has already been used; the screen offers to sign in.
- Account already linked. If that account is already linked to another profile in the same company, it is not accepted and the invitation stays pending on your screen.
- Inviting when the plan is full. Zelun creates neither the person nor the invitation.
You can also invite a practitioner who is Managed by Reception later with Invite to Zelun: when they accept they take a seat on your plan, stop being managed and keep their history.
