Get your schedule changes and conversations on your phone

What it is

Staff app notifications tell you on your phone what is happening on your schedule and in your work, without opening the app. Each person gets only what is theirs: if a client books with Ana, Ana is told and Bea is not. You are never told about something you did yourself.

They tell you about: a new, rescheduled or cancelled appointment on your schedule; a free slot on your schedule that someone from the waitlist took; a client's reply in one of your conversations; a job or order assigned to you; the answer to your time-off request; and a payment from a payment link you sent. Your business type picks the words: New appointment, New session, and so on.

The owner also gets three business notices, the same ones as the Admin notification center: Your subscription payment failed, Payouts stopped and Messages not being delivered. Any other Admin notice you have on also reaches the phone, with its title and a line that invites you to open Admin.

There is no new tab. On Today, at the top, the bell opens Notifications and the chat icon opens Conversations, with the number you have not read. Notifications cost nothing and do not use your credits.

Before you start

  1. Sign in to the staff app with your own account. The phone is registered as you; a shared account will not work, because every notice belongs to one person.
  2. Allow notifications when the app asks. Before the phone's own prompt, the app explains what they are for, and you can choose Not now.
  3. If you already said no on the phone, open the phone's settings and allow them again. Inside Notification settings, the Open phone settings button takes you there.

Steps

Choose what to receive

  1. On Today, tap the bell and then the gear to open Notification settings.
  2. Under Your schedule and Your work, switch each notice on or off. The change is saved right away.
  3. If you are the owner, under Your business choose which of the three business notices you want on the phone.

Set quiet hours

  1. Under Quiet hours, switch on Do not notify me during a time window and enter From and To, for example 22:00 and 07:00.
  2. The time is your location's time. What arrives in that window makes no sound: when it ends you get one notice, for example "3 changes to your schedule". Anything about an appointment that already started is not sent.

Reply to a client

  1. Tap the chat icon on Today, or tap the notice about a client's reply.
  2. Open the conversation, write in Your reply and tap Send. You answer on the same channel they wrote on, WhatsApp or SMS, under the same rules as Admin.
  3. A conversation is yours when that client has an upcoming appointment with you or, failing that, when their last appointment was with you. Other people's conversations cannot be opened.

Keep reminders on WhatsApp (owner)

  1. In Admin, open My business, go into the location and open Messages.
  2. Switch on Always send reminders by WhatsApp. The section shows the order the messages go out in.

What your clients see

Your clients see none of this. Their reminders and confirmations keep arriving as before, and if they have the app they also get their own notification. In clinics and in businesses with private mode, notices to your team and to your clients do not show the service, the diagnosis or amounts. Notices about a client show only their first name and the initial of their last name.

Common mistakes

  • Nothing reaches me. Check that notifications are allowed on the phone and that the notice is switched on in Notification settings. If the phone was turned off or you signed out, sign in again to register it.
  • It did not tell me about the appointment I booked myself. That is on purpose: nobody is told about their own action.
  • I see another person's conversations. It should not happen. A conversation belongs to whoever has the next appointment with that client.
  • I cannot reply. If the WhatsApp window has closed, the app says so: reply from Admin with a template message.

A practitioner Managed by Reception does not use the staff app: they receive their agenda by WhatsApp or email. Push notices are for people who already sign in to Zelun.
