Schedule the visits of a made-to-order job: measuring, delivery and installation at the client's address

What it is

A made-to-order job usually has at least three trips to the client's address: the measuring, the delivery and the installation. Zelun puts them on the crew's diary from the order, with the job's address, and shows the client on their order page when each one is coming.

A visit is an ordinary appointment with three extra facts: where it is (the client's address), which order it belongs to, and how long it takes to get there and back. That is why it shows on every crew member's diary, respects their hours and time off, and tells the client with the usual messages: confirmation, change, cancellation and reminder.

An order's visits are not charged on their own. The order's deposit and balance are the only money for the job: a visit asks for no booking deposit, and closing it at the till records no sale and no tip.

You schedule them from Orders, in the Visits section of the order sheet. For a kind of visit to be available, the matching service must be marked Done at the client's address. If you signed up as Made-to-order projects, your three starter services (Measuring visit, Delivery and Installation) already are, with 20 or 30 minutes of travel each way that you can adjust.

Before you start

  1. An order that is not delivered or cancelled, with the job site filled in (Orders → the order sheet → Job site), ideally with someone assigned. A delivered or cancelled order accepts no new visits.
  2. A service marked Done at the client's address for each kind of visit you will schedule. See Mark a service as a home visit below.
  3. The crew members who will go are enabled for that service and work that day.
  4. If the visit needs the van or other equipment, mark it as a required resource of the service; it is then kept busy while the visit and its travel last.

Steps

Mark a service as a home visit

  1. Open My business, go to Services and press Edit on the service, for example Installation.
  2. Tick Done at the client's address. Booking then asks for the address, and the reminder carries the map to that address, not to your workshop.
  3. Choose the Kind of visit (Measuring, Delivery, Installation or Service) and enter Travel before (min) and Travel after (min), from 0 to 240. They are the defaults: each visit can change them.
  4. Save the service. To remove it, untick the box: the kind and the travel go with it.

Schedule a visit from the order

  1. Open Orders, press the order's card and find the Visits section.
  2. Press Schedule a visit. The sheet already holds the service of the chosen kind, the person assigned to the order, the order's address and the service's travel.
  3. Choose the Kind of visit, the Date and the Time.
  4. Under Crew, confirm who goes and, if needed, pick a Second person (optional). A visit can take two people; if you need more, schedule another visit for the third.
  5. If the visit is at a different address, press Change it for this visit only and type it. The order keeps its own.
  6. Check Travel before (min) and Travel after (min). Travel keeps the crew and the van busy, but the client does not see it: their message only gives the time of the visit.
  7. Press Schedule and tell the client.

When the time does not work

  1. If the person already has something at that time or in their travel, the sheet says who is not free, which job holds them until when and, when there is one, the first time that does work, for example: "Luis is not free at that time. They have Delivery until 09:15 and 30 min of travel after. Try from 09:45."
  2. It is also refused if the van or equipment the service needs is busy, if the shop is closed or if the person is away. The message says so and nothing is saved.
  3. Change the time or the person and press Schedule and tell the client again.

Change or cancel a visit

  1. In Visits, each scheduled visit has Reschedule and Cancel. Rescheduling asks for the new date and time and keeps that visit's travel. Cancelling asks you to confirm with Cancel this visit.
  2. You can also open the visit in Book: its block draws the travel as hatched bands before and after, shows the address and has View the order to go back to it.
  3. To correct only the address of a visit that is still scheduled, change it on its diary sheet.

Service visits after delivery

  1. A delivered order accepts no ordinary visits. The only exception is a Service visit booked from a client's open service request, with Schedule visit in Service requests. It is linked to the order and to the request, at the order's job site, with no charge.
  2. The article on warranty and service requests has the whole flow.

Close a visit

  1. When it is done, close it at the till like any appointment. It charges nothing, asks for no tip and sells no products: the order already covers the money.
  2. A measuring visit with no order yet (the one you use to make the quote) is charged like any appointment, if you priced it.

Cancel the order

  1. Cancel order also cancels every visit of the order that has not started, at no charge to the client. Past visits are kept.
  2. The client receives one message that the order was cancelled and names the cancelled visits, not one for each visit.

What your crew sees

  1. Each visit shows on the diary of every person who goes, with the kind, the client, the address and the travel.
  2. In the staff mobile app, the job detail shows Upcoming visits: each with its date, time, travel, who goes along and which vehicle it takes, and its own Open in Maps. The Job site card only has a map button when the job has no upcoming visits, so there are never two map buttons for the same trip.

What your clients see

  • On their order page, Visits to your address lists each visit with its kind, date and time, address, the first name of whoever is coming, its status and Add to my calendar. They never see the travel, coordinates or the crew's surnames.
  • The visit's messages (confirmation, change, cancellation and the reminder a day before) name the kind in their language, for example Installation, link to the order page, and their map points to the job's address, never to your workshop.
  • They cannot move or cancel a visit themselves, because the crew's day is planned around it. The page says "To change a visit, write to" your business, with a WhatsApp button when you have a contact phone.
  • If they book a home service online, the page asks for the address before their details and the confirmation repeats it. Only your business sees it.

Common mistakes

  • Looking for Schedule a visit on a delivered or cancelled order. It accepts no new visits.
  • Not finding a kind of visit. There is no service marked Done at the client's address with that kind. Create or edit it in Services.
  • Expecting travel to be charged or shown. It is crew time; the client never sees or pays it.
  • Adding cleanup and drive-home time together. After the visit Zelun applies the larger of the two, not the sum.
  • Expecting the visit to ask for a booking deposit. It does not: the money is the order's.
  • Asking the client to reschedule. Your business does it from the order.
  • Forgetting the order's address. Without it, the sheet asks you to type the visit's address.
  • Expecting a message for each visit when you cancel the order. It is one message that names them.
